To Use the Exchange Room
|
|
If you become a supporting member of Kokusai Hiroba, then you will be able to use the center’s Exchange Room for meetings, cultural exchange events, and more for activities that promote internationalization.
You may apply if you are a group supporting member or a group combined of 5 individual members.

How Can We Sign Up?
|
|
Please fill in the required information on the form and turn it in to us at the front counter, or send the document to us via mail or fax.
|
|
|
|
When Should We Sign Up?
|
|
Requests to use the Exchange Room are accepted as early as one month and as late as one week prior to the day desired for use. (In the event that these days are when Kokusai Hiroba is closed, then the requests will be accepted on the first following day that we are open.)
This limit does not apply in cases such as events that require sufficient publicity beforehand if you can provide us with adequate proof.

How Many People Can the Rooms Support?
|
|
Exchange Room A holds 42 people, while Exchange Room B holds 15.
|
|
Are There Limits on the Period of Time or Number of Times We Can Use the Room?
|
|
You are limited to 2 times per month, with a general time limit of 3 hours per time. You can only use it during Kokusai Hiroba’s open hours, and when there are no previous activities planned for the room, so please be sure to inquire beforehand.
|
|
What About the Survey Results?
|
|
If you make use of the survey results, we shall send the Letter of Acceptance to you by mail or fax. (We will send it within 2-3 business days.) On the day that you use the Exchange Room, please bring the Letter of Acceptance with you.
If you cannot use the survey results due to the scope of your meeting, then please contact us by telephone.

Other Points to Take Notice
|
|
・Bringing drinks and snacks into the Exchange Room is normally restricted, but we do permit them on a case-by-case basis, such as when they are directly involved with the purpose of the meeting (such as during tea ceremony workshops). If you wish to use them, then please be sure to tell us the reason(s) why on the application. Please take empty cans or other disposables with you.
・Please return the desks and chairs to the positions in which you found them, as in a classroom setting.
・Business-related activities and for-profit functions are not permitted.
